An initial non-refundable deposit of 25% of the total cost is required at the time of signing the Contract to confirm your event. Two weeks prior to the Event Date, the total amount owing on your event is due. Any additional costs for labour, beverages or rentals will be billed to you within 5 business days after your event. Our payment terms are net 15. Depending on the menu and services provided, your event may be subject to any of the following: 5% GST, 7% PST, 10% PST (on alcohol), 18% gratuity on food & beverage and 20% rental equipment handling.
Final menu selection is due no later than two week priors to the Event Date. A guaranteed number of guests must be confirmed at least ten (10) business days prior to the Event Date. You will be billed for the guaranteed number of guests or the actual number of guests served, whichever is greater. If the guaranteed number of guests is less than 50% of the proposed number of guests in the Event Proposal, the price per guest may be increased. We will make every effort to accommodate any last-minute increases to the number of guests.
Railtown will accommodate dietary substitutions whenever possible. Menu prices are subject to change at any time according to market prices and final menu costs can be guaranteed no more than thirty (30) days prior to the Event Date. Any changes to the menu must be confirmed no later than ten (10) business days prior to the Event Date and may be subject to additional charges. Railtown reserves the right to discard all perishable food items two hours after the event in compliance with FOODSAFE™ practices. Once food has left your event venue, it is no longer food safe and cannot be picked up at a later date. You may provide food containers to bring home leftovers from the event.
Railtown holds a BC liquor license and can provide all liquor products and licensing for your event as well as the service of these products with Serving it Right-certified staff. In the case that you are providing your own liquor, according to BC Liquor Laws we cannot provide our liquor license coverage. It is mandatory to submit your approved liquor license to us no later than five (5) days prior to the Event Date. We reserve the right to refuse to work with outside bartenders or bar supply companies.
Railtown utilizes outside providers for many of its rental, security, valet, floral, transportation, photography, tenting and audio-visual requirements and applies a mandatory 20% charge to cover the costs of our service. We reserve the right to coordinate all rentals required for our food and beverage service. If you must place your own rentals it will be subject to an hourly event planner fee to consult on the rental order.
You agree that Railtown, its directors, officers, employees and agents shall not be responsible for any loss, damage or destruction to any property, personal injury or death, however caused, arising from any aspect of your event. You will indemnify and hold harmless Railtown and its directors, officers, employees and agents against all claims, demands, damages, costs and expenses, including reasonable legal fees, in respect of death, injury, loss or damage to person or property, however caused, arising from any aspect of your event. You will be entirely responsible for any damages to the location or venue in any way and will supervise all event participants to ensure that they conduct themselves in an orderly manner.
All cancellations must be made in writing to the catering office no later than thirty (30) days prior to event. All initial deposits received as confirmation are non-refundable if a cancellation occurs. Please note at this time we are making exceptions to cancellations due to any health or safety restrictions. Railtown accepts Cheque, Visa or MasterCard payments. We also accept American Express at an additional 3.5% processing fee. A signed credit card authorization form must be on file regardless of your chosen payment option.
